Set reorder rules and run replenishment

Give each product a minimum and maximum level per location, then turn a replenishment run into purchase orders for the right suppliers.

Any one of these grants access. Ask an administrator if the screen is not visible to you.

Before you start

  • Products stocked at the location being replenished
  • A preferred supplier where one applies
  • Purchasing permission to raise the resulting orders

Complete the workflow

  1. 1

    Set the levels

    Give the product a minimum and a maximum quantity for the location. The maximum must be greater than the minimum, and the gap between them is what each suggestion aims to refill.

    Name a preferred supplier

    The preferred supplier decides how suggestions are grouped when they become orders, so a run produces one order per supplier rather than one per product.

    Run replenishment

    A run compares the quantity available and the quantity already on order against each rule, and suggests what to buy for the products that fall short.

  4. 4

    Review before ordering

    Adjust suggested quantities against what you know that the rule does not — a promotion, a seasonal change, a supplier minimum. The run records the figures it saw when it ran.

    Raise the purchase orders

    Accepted suggestions become purchase orders grouped by supplier and linked back to the run, so you can see later why a quantity was ordered.

Useful tips

  • Stock already on order is counted, so an open purchase order stops the same shortfall being ordered twice.
  • A run is a snapshot. If stock moved materially while you were reviewing, run it again rather than ordering against stale figures.

Troubleshooting

A product is not being suggested

Check it has a rule at that location, and that available plus on-order stock has actually fallen below the minimum.

The rule will not save

The maximum quantity must be greater than the minimum.
