Before you start
- A customer record or their contact details
- Products with current selling prices
- A validity period you can honour
Complete the workflow

Build the quotation
Select the customer, add products, quantities and any discount, and set the date it remains valid until. The validity date cannot fall before the quotation date.

Issue it
Issuing fixes the document the customer receives. Free editing belongs to the draft stage; once issued, changes go through a revision.

Revise while it is under discussion
A revision supersedes the previous version, which stays in history with its revision number, so you can show what was quoted and when.

Record the outcome
Mark the quotation accepted or rejected. A rejected quote is kept rather than removed, which is what makes win and loss reporting possible.

Convert to a sale
Conversion carries the quoted lines into a sale and links the two, so the quote remains the evidence for the price charged. It needs the conversion permission.
Useful tips
- Convert from acceptance, not from a stale quote: a quotation past its validity date should be revised and reissued first.
- Superseded revisions stay auditable, so revise freely rather than editing around the customer.
Troubleshooting
The quotation cannot be converted
Confirm it is accepted rather than issued, rejected or superseded, and that you hold the conversion permission.
The sale price differs from the quote
Conversion carries the quoted prices. A later price-list change does not rewrite an issued quotation; revise and reissue if the customer must see new pricing.
