Before you start
- The Service bookings platform feature
- An active service product
- Active employees assigned to this branch
- A published workforce roster
Complete the workflow
- 1
Enable the capability
On hosted MultiPOS, a platform administrator enables Service bookings for the tenant. Standalone installations make local capabilities available without platform entitlements.
- 2
Configure the service
Open Appointments, select a service, set its duration, slot interval, buffers, notice and advance window, then choose whether requests are confirmed automatically or by staff.
- 3
Assign qualified staff
Select employees who may deliver the service. Assignment alone does not publish time; only their shifts on a published roster for this branch become available.
- 4
Accept online requests
Manual-confirmation appointments arrive as Requested. Verify the customer, service, staff member and time before confirming or cancelling with a reason.
- 5
Manage changes
Use the calendar or staff view to find the appointment and choose Reschedule. Customers can also reschedule or cancel from their private booking link or verified storefront account.
- 6
Keep the customer informed
Requests, confirmations, reschedules and cancellations enter the shared customer communication outbox. Confirmed appointments also schedule 24-hour and two-hour reminders through the configured email or SMS provider.
- 7
Run the visit
When the customer arrives, choose Check in, then Start service. Complete the appointment after delivery and record concise outcome notes for the internal service record.
- 8
Take payment
After check-in, choose Checkout from the appointment. MultiPOS opens the existing POS with the customer and service locked, then links the completed sale back to the appointment so it cannot be billed twice.
- 9
Close the appointment
Use No-show only when a confirmed customer never arrives. Completed, cancelled and no-show states preserve the original request and its immutable progress history.
Useful tips
- Use buffers for preparation or cleanup instead of making the service duration misleadingly long.
- Pause a booking profile to hide future slots without cancelling existing appointments.
- Check in before billing so the operational visit and financial sale remain linked but retain their own audit trails.
Troubleshooting
No appointment times appear
Confirm the service is active, has assigned branch staff, falls inside its booking window, and those employees have published roster shifts without holiday, leave or appointment conflicts.
A customer-selected time is no longer available
Another request used the slot first. Refresh availability and choose another time.
