Request, approve and track employee leave

Configure leave types and entitlements, move requests through approval, and keep every balance explainable.

Before you start

  • Leave types configured for the business
  • An entitlement recorded for the employee and cycle
  • An approver who holds the leave approval permission

Complete the workflow

    Configure the leave types

    Each type carries its own rules, so annual, sick and unpaid leave can behave differently. Configure them once for the business before recording entitlement against them.

    Record entitlement

    Entitlement is granted per employee per cycle and is what a balance is measured against. A request cannot draw on a type the employee has no entitlement for.

    Raise the request

    A request starts as a draft and is submitted for approval. The type and the dates decide what is deducted if it is approved.

    Approve or reject

    Approval needs the separate approval permission, so raising and approving are deliberately different acts. A rejection keeps its reason on the request.

    Cancel when plans change

    Cancelling a request that was already approved returns the days to the balance, which is why cancellation exists rather than deletion.

Useful tips

  • Approving is a different permission from requesting, so nobody approves their own leave by default.
  • A balance is entitlement for the cycle less approved leave — if it looks wrong, the request history for that cycle explains it.

Troubleshooting

The request cannot be submitted

Confirm the employee has an entitlement for that leave type in the current cycle.

A balance looks wrong

Approvals and cancellations both move it. Review the requests for that cycle rather than adjusting the entitlement.
